This Privacy Statement (“Privacy Statement”) outlines how Ridgeline, Inc. and its affiliates (“Ridgeline”) collect, process, and protect your personal information when you apply for a job or other role with us, including full-time, part-time, temporary, consultancy, or internship positions through the Ridgeline online recruitment system and careers page (the “recruitment system”) as well as through third-party agencies and recruiters on behalf of candidates.
Collection and Processing of Personal Information
Ridgeline may collect and process your personal information from you directly when you:
- Apply for a role at Ridgeline.
- Introduce yourself at an event.
- Sign up for product news.
- Meet with us in person, by phone, or online as a job applicant.
We may also obtain your Personal Information from external sources, including:
- Recruiting agencies, academic institutions, and professional organizations that support job searches.
- Ridgeline personnel who refer you.
- Independent background check and verification providers.
- Public sources, such as professional platforms, published research, articles, or citations.
- Referees responding to reference requests.
The information we collect directly from your and other sources may include, but is not limited to:
- Identifiers:
- Personal details (e.g. Name, gender, date, and place of birth) and Contact information (e.g. Address, phone number, and email).
- Professional and Employment-Related Information:
- Information contained on your resume and other documents related to the application or recruitment process (e.g., cover letter, transcripts, certifications)
- Job history (e.g., previous employment, roles, performance history)
- Other information you may choose to voluntarily submit to us in connection with the application process (e.g., information disclosed in an interview or information you volunteer regarding your criminal records history, compensation history, family history or personal situation)
- Background check data, potentially including your criminal records history, employment history, educational history and/or compensation history, from employment screening agencies, publicly available registers or databases, former employers and/or educational institutions (as allowed by local laws)
- Information about your performance or conduct from references, other Ridgeline employees, clients or service providers, or current or former employers who may provide feedback about you.
- Information about you from Ridgeline employees who interview you and who may provide feedback about you
- Educational Information:
- Educational details (e.g., educational history, qualifications, certifications, skills)
- Electronic, Visual and Audio Information
- On-premise location monitoring for security purposes (e.g., video surveillance when attending our premises for an interview)
- Internet Activity Information:
- Information about you using cookies and similar technologies when you use the recruitment system and browse our website (see our Privacy Statement for further information about how this works)
- Publicly available information from websites or social media, including information that you choose to voluntarily submit to us in connection with your application (e.g. when applying through LinkedIn)
Processing of Sensitive Personal Information
Ridgeline minimizes the processing of sensitive personal information unless it is necessary for business operations, legitimate recruitment and employment purposes, or compliance with applicable laws. Specifically, we may collect and process the following sensitive personal information categories to the extent legally allowed or for the purposes of complying with local laws:
- Data related to diversity (e.g., race, ethnicity, gender, religion, veteran status and/or disabilities)
- Citizenship or immigration information (e.g., for visa purposes, right-to-work information)
- Information about any health status, issues, or disabilities where appropriate (e.g., your disability status, any requests for accommodation in the application or interview process, or confirmation of your wellness before attending an in-person interview)
- your trade union, works council membership, or employee representative status if you disclose this in your resume or during the interview process
Use of Your Personal Information
Ridgeline collects and processes your personal information only for specific and necessary purposes. Ridgeline does not make decisions based solely on automated processing that produce legal or similarly significant effects as part of the recruitment activities covered by this Privacy Statement. Ridgeline does not make any decisions involving the use of algorithms or profi ling that signifi cantly affect you.
Your personal information may be used to:
- Manage recruitment processes – Create and maintain our recruitment system, job applications, and candidate database.
- Assess qualifications and interests – Evaluate your skills, experience, and fit for the applied position or other opportunities.

We may share your personal information with third parties in specific, limited circumstances noted below and take appropriate measures to ensure that any third party handling your personal information does so securely and in accordance with applicable laws.
- Ridgeline affiliates for recruitment, human resource management, and internal reporting purposes.

Transferring Personal Information Internationally

Retention of Personal Information
Ridgeline securely stores and retains your personal information for as long as necessary to fulfill legitimate business purposes, as outlined in this Statement and in compliance with applicable local laws.
We retain personal information for a reasonable period following Post-Recruitment & Hiring Decisions to:
- address potential inquiries, complaints, legal, or compliance matters related to Ridgeline recruitment operations
- keep you informed of future vacancies if you wish and maintain accurate records of your contact preferences. You can update your preferences of future contacts at any time, but certain information may still be retained if required for lawful purposes and purposes at the time of the request.
To determine the appropriate retention period, Ridgeline takes the following into consideration:
- Legal and regulatory obligations (including any applicable guidance).
- Risk of claims and applicable limitation periods.
- Legitimate business needs relevant to Ridgeline’s operations.
- Amount, nature, and sensitivity of the personal information.
- Potential risk of harm from unauthorized use or disclosure, considering our security controls.
- Whether the purpose can be achieved through other means.

If you can provide details of your concern, this may assist Ridgeline in expediting the response. We will respond without undue delay and keep you updated. This is usually within 30 days of your request but may be extended to 90 days in some cases.
To process your request, we may need to verify your identity to protect your data from unauthorized access. Ridgeline does not discriminate against individuals for exercising their privacy rights.

For California residents, if you are submitting a request to access, please specify if you would like to access personal information categories or specific pieces of personal information. Ridgeline does not sell your personal information or share your personal information with third parties for targeted advertising. Ridgeline also does not use your Sensitive Personal Information for any purpose other than to operate our business, for legitimate recruitment-related purposes, or where otherwise permitted by, or necessary to comply with, applicable laws, and therefore does not provide a right to limit the use of Sensitive Personal Information.
When you submit a request, we will first acknowledge receipt of your request within 10 business days after receipt of your request. We will provide a substantive response to your request within 45 calendar days after its receipt. If we require more time (up to 90 days or the permitted time frame), we will inform you of the reason and extension period in writing.
Only you or an authorized agent (as described below) may make a verifiable consumer request related to your personal information.
- How to Authorize an Agent. You may designate an authorized agent to submit your verifiable consumer request on your behalf only if the authorized agent has your written permission to do so and you have taken steps to verify your identity directly with us.
- How We Verify Your Request. To respond to your request, we must verify your identity and/or the authority of your authorized agent. We will only use the personal information provided to us in that context to verify your identity or the authority of your authorized agent to make the request. Making a verifiable consumer request does not require you to create an account with us. To allow us to verify your request, we may require that you provide at least two pieces of personal information that we already have in our possession, if we cannot already verify you.
